Submitting Cases

Everything you need to prepare, export, and upload a case to SeeRays — from file formats to what to do if your CBCT software isn't listed here.

Creating & Submitting a Case

How do I submit a case?

  1. Go to our secure upload portal (linked from the "Submit a Scan" button anywhere on seerays.com).
  2. Fill in the patient's name, clinical info, and any special request for the read.
  3. Enter your office email in "Your Office Email Address," and enter in the second "Email" field — this is what routes your case to our radiology team.
  4. Attach your zipped DICOM file (see below for export instructions) and click Upload.

Not sure which field is which? Contact us and we'll walk you through your first submission.

Can you compare imaging from our practice to previous imaging you've already reported?

Yes. Note the patient's name and the approximate date of the prior scan in the "Special Request" field when submitting, and we'll pull the earlier report for comparison.

File Format

What file format do you need?

We read DICOM files — the standard imaging format exported by essentially every CBCT and digital imaging system. When you export from your software, look for an option like "Export," "Save As," or "Send To," followed by "DICOM" as the format.

Your export will typically be a folder containing many individual DICOM files (often named with a .dcm extension, though sometimes with no extension at all) — that's expected. Don't try to open or convert them individually.

Do you accept anonymized scans?

No — we're not able to accept fully anonymized DICOM volumes. The patient's name and date of birth need to be present in the file so we can accurately match the report to the correct patient and maintain a clear chart of custody for the imaging. Please export with patient information intact, exactly as it's stored in your imaging software.

Patient Information

What patient information should I provide when submitting a case?

  • Patient's full name (matching what's in the DICOM file)
  • The clinical reason for the scan or specific question you'd like addressed
  • Any relevant history — prior treatment, symptoms, or findings you're already aware of
  • Any special request (e.g., a specific tooth, region, or comparison to a prior scan)

The more clinical context you give us, the more useful and targeted the report will be — but if you're short on time, a brief note is enough to get started.

Zipping Your Files

How do I zip a folder?

On Windows: Right-click the folder containing your DICOM export → "Send to" → "Compressed (zipped) folder."

On Mac: Right-click (or Control-click) the folder → "Compress [folder name]." This creates a .zip file in the same location.

Upload the resulting .zip file, not the individual DICOM files or the uncompressed folder — this keeps the full study intact and makes the upload much faster.

Exporting DICOM From Your CBCT Software

General steps (if your software isn't listed below)

  1. Open the patient's study in your imaging software.
  2. Look for "Export," "Save As," or "Send To" — usually under a File menu, an Output tab, or a right-click on the patient/study.
  3. Choose "DICOM" as the export format (not JPEG, PNG, or a proprietary project file).
  4. Export the full volume, not a single slice or screenshot.
  5. Save it into a folder you've created on your desktop, then zip that folder as described above.

Multiple Scans

Can I send you multiple scans or images for one patient?

Yes — if you're submitting more than one scan (for example, a CBCT and a panoramic film) for the same patient, note this in the "Special Request" field so we review them together and can reference findings across both in a single report.

Troubleshooting

I'm getting an error message when uploading files

This is usually caused by a file that's too large, an internet connection that drops mid-upload, or a browser extension interfering with the upload form. Try:

  • Uploading from a different browser (Chrome tends to be most reliable)
  • Confirming your zip file isn't corrupted by opening it locally first
  • Checking your internet connection is stable, especially on larger files

If the error persists, contact us directly and we'll get your case submitted another way.

How do I get files off a CD or flash drive to submit them?

Copy the DICOM folder from the CD or flash drive onto your computer's desktop first, then zip it and upload from there — files can't be zipped or uploaded directly from a CD.
